Who we are

TradeNudge is a trading name of Ironbit Ltd (Company No. NI729290), a company registered in Northern Ireland. When we say “we”, “us” or “our” in this policy, we mean Ironbit Ltd. Ironbit Ltd is the data controller for your account data, and processes the customer data you store in TradeNudge on your behalf (see below). You can contact us at [email protected].

Data We Collect

We collect your email address and business name when you register. We also collect your customers' first names, mobile numbers, home/billing addresses, and itemized goods/services purchased — solely to provide the automated invoice reminder service on your behalf. All customer data you enter is processed under your instruction as a data controller.

AI & Sub-Processors

To provide our invoice scanning feature, uploaded images may be processed by secure, enterprise-grade third-party AI vision providers. We ensure our agreements with these sub-processors prohibit them from using your images or your customers' personal data to train their public AI models. Images are held only as long as necessary to extract the text, and the structured data is then stored securely on our UK/EU servers.

AI Data Processing

To provide our automated scanning feature, images of invoices uploaded to TradeNudge are processed by third-party AI providers. By using this feature, you confirm you have the legal right to process your customers' data in this manner. We do not use your customers' data to train public AI models.

Basis for Processing

We process your data and your customers' data under the 'Legitimate Interests' and 'Contractual Necessity' provisions of the UK GDPR and the Data (Use and Access) Act 2026. Apart from delivering the service, the one other thing we use your email address for is occasional marketing emails about TradeNudge's own products and services, such as a monthly report. You choose whether to receive these when you sign up, every one of them has an unsubscribe link, and you can change your choice any time in your profile. We never use your customers' data for marketing.

SMS & Communications

TradeNudge is a B2B service. SMS reminders are strictly transactional — sent on your behalf to customers who owe you money. We do not use customer phone numbers for marketing or share them with third parties. Customers may opt out at any time using the link in any message; if a message came from a phone number rather than the sender name “TradeNudge”, they can also reply STOP. They can also email [email protected].

Data Sharing

We use Stripe for subscription billing, Twilio to send SMS messages, and Resend to send our emails. We do not sell your data or your customers' data to any third party, ever.

Data Retention

We keep your account data for as long as your account is active. You can ask us to delete it at any time by emailing [email protected]. When an account is closed (because the last person on it leaves, or because it is deleted), the business’s data, including its invoices, clients, reminders and payment details, is permanently deleted within 90 days. Our backups may hold a copy for up to a further 14 days before it is gone for good. We do keep a record of phone numbers that have asked not to be texted, so that we keep honouring their request — and, for the same reason, a record that a customer agreed to be texted. These records are kept without the business or client details attached. In the same way, if you unsubscribe from our marketing emails we keep your email address on our list of people who have asked not to be emailed, so that we keep honouring your request even if your account is deleted, and we keep a record of the emails we have sent to you for six years. Records of payments made through Stripe are kept by Stripe under its own privacy policy.

Your Rights

Under UK GDPR you have the right to access, rectify, or erase your personal data. To exercise any of these rights, email us at [email protected] and we will respond within 30 days.

Right to Complain

You have the right to raise a complaint directly with TradeNudge at [email protected]. We will acknowledge your complaint within 30 days and investigate it without undue delay. If you are not satisfied with our response, you may escalate to the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies

We use a single session cookie to keep you logged in. We do not use advertising or tracking cookies.

Voice-to-Text & Audio Data

If you use our voice-to-text feature within Internal Job Notes, all audio is processed entirely on your own device using your operating system's native speech recognition engine (such as Web Speech API on Android or iOS). TradeNudge never receives, records, uploads, or stores any raw audio files. Only the resulting transcribed text is stored on our servers as part of the job note, and it is subject to the same data retention and deletion rights as all other personal data we hold.

CRM & Contact Management

As part of our service, you may upload and store your clients' contact information and scheduling data within the TradeNudge CRM and Diary features. TradeNudge acts strictly as a Data Processor for this information, operating under your instruction as the Data Controller. We apply enterprise-grade encryption in transit and at rest to all client data. We will never sell, market to, or share your client list with any third party. This data is stored solely to enable you to manage your business relationships, schedule jobs, and generate invoices.
